Getting started
What does Billcostro do?
Billcostro runs employee travel, reimbursements, advances, vendor purchasing and company assets on one approval trail, with budgets planned by business unit and department.
How do we set up our organisation?
Fill in the import template with your GST registrations, business units, departments, employees and their reporting managers, or add them on screen. A dry run lists every problem by sheet, row and column before anything is saved, and you choose whether to send invitations now or later.
Can people sign in with Google or Microsoft?
Yes. Employees can sign in with their Google or Microsoft 365 work account, or with email and password.
Is there a mobile app?
Yes. Employees use the Billcostro app on iOS and Android to raise requests, photograph bills and follow their status.
Is there a free trial?
Yes. A new organisation gets a 30-day free trial before choosing a plan.
Can we have more than one GSTIN?
Yes. Add each GST registration with its state, type (regular, SEZ or ISD) and dates, mark one as primary, and choose which GSTIN each business unit uses.
Approvals and travel
How are requests approved?
A request goes to the employee's reporting manager, then the department head, then the travel desk or finance desk that handles it. Every decision is recorded with who made it and when.
What can employees request?
Travel (flights, trains, hotels, cabs), reimbursements, advances and software. Each request type has its own form.
Does Billcostro book tickets?
No. Your travel desk sees approved trips in its queue, books them with your usual agent or portal, and uploads the booking copies to the request.
How are advances settled?
An approved advance is recorded against the employee. After the trip, their claims are set against it so finance can see what to pay or recover.
What does the approval trail show?
Who decided at each stage and when. If a later approver acts first, the earlier stages are shown as skipped, with who covered them. Claims and advances show the approved amount next to the amount asked for, with the reason. It covers travel, stay, cab and software requests, claims and advances.
Bills, claims and GST
Does Billcostro read bills automatically?
Yes. When a bill or vendor invoice is uploaded, OCR reads the vendor name, invoice number, date and total and fills them in for the employee to check.
How does the duplicate check work?
Claim receipts, vendor invoices and travel booking copies are compared with your company's earlier bills: the same file, the same supplier GSTIN and bill number in a financial year, or the same vendor and amount a few days apart. The person uploading is warned, and finance sees a list of possible duplicates, compares each pair side by side and marks it confirmed or not a duplicate. A flagged bill is not stopped.
What is the GSTIN check?
On scanned vendor invoices and reimbursement bills, Billcostro finds the supplier's and buyer's GSTINs and checks their format, state code and check digit. It compares the buyer GSTIN with every GST registration your company holds: a bill addressed to another of your GSTINs gets a note naming both, and a bill addressed to an unknown GSTIN, or with none, gets a warning naming the GSTIN to ask the supplier for. It also warns when the supplier GSTIN is missing, invalid or different from the vendor record.
Does it check whether a GSTIN is active?
Not yet. The check is done offline, so it proves a GSTIN is well formed, not that the registration is active. Checking live status with the GST portal is planned.
Does Billcostro file GST returns or match GSTR-2B?
No. It helps you collect bills with the right GSTINs. Matching against GSTR-2B and the invoice management system (IMS) is on our roadmap, not in the product today.
What is the bill health report?
Counts and values of your bills as read from them: supplier GSTIN problems, bills not addressed to your company, possible duplicates and bills with no readable number or date, with a PDF your CA can sign off. It does not work out input tax credit and is not a tax opinion. It is in preview, shown on our demo company during a demo.
Budgets
How do budgets work?
Finance plans budgets by quarter for the organisation, each business unit and each department; the year is the sum of its quarters. Purchase requisitions are checked against the department budget at the finance step, for reference only. Travel, claims and advances are not counted against budgets in approvals.
Does a budget stop an approval when it runs out?
No. Billcostro does not block, warn or alert on budget today. Budget context on every approval is planned.
Vendors and purchasing
What does the purchasing flow cover?
Purchase requisitions, requests for proposal (RFPs) sent to vendors, vendor quotes, purchase orders, vendor invoices and payment records. Requisitions, RFPs, quotes and purchase orders are linked; payments are recorded against invoices.
Can vendors respond in Billcostro?
Yes. Invited vendors log in to see the RFPs sent to them and submit their proposals. A vendor only sees its own bids.
Are vendor GSTINs checked?
Yes. A vendor record only accepts a GSTIN that is correctly formed. It can be left blank for unregistered vendors.
Assets
What can we track as assets?
Laptops, phones, software licences, furniture or anything else you list. Each asset is assigned to an employee and department with its status.
Can employees request assets?
Yes. Asset requests go through approval, and the admin or IT team assigns an asset once approved.
Integrations, data and security
Does Billcostro work with Tally?
Yes. Claims, vendor invoices and payments export as Tally Prime XML, which your accounts team imports instead of retyping vouchers. Amounts are exported gross, so GST ledgers are added in Tally.
Is there an API?
Yes. An organisation admin can create API keys and webhooks. Ask for API access in a demo.
What about Zoho Books, Slack and WhatsApp?
These are in beta. We switch them on with you on request. See the integrations page for what is live today.
Where is our data hosted?
Billcostro runs on Amazon Web Services in Mumbai (ap-south-1).
Can other companies see our data?
No. Every record belongs to one organisation, and people, API keys and vendors only ever see the records they are allowed to.
How do I delete my account?
Ask your organisation's administrator, or email support@billcostro.com. See the delete account page for details.
Pricing and billing
Is GST included in the price?
No. Prices are in rupees, billed annually, and GST is charged on top at the applicable rate.
Who counts as an active submitter?
Anyone who raises a request or claim in a month. Approvers, finance, the travel desk and admins are free, so you do not pay for people who only approve or process.
What if more people submit than we planned for?
You commit to a band of active submitters for the year and pay for that band. Once a year we compare it with the actual count and settle the difference at the true-up. Nothing is charged for each new joiner during the year.
Is there a free trial?
Yes. Sign up and you get a 30-day free trial to set up your organisation and invite your team before you choose a plan.
How is the Procure-to-Pay module priced, and can we buy it on its own?
From ₹12,000 a month, which includes 300 vendor invoices a month and 10 procurement or accounts payable users. Each vendor invoice above 300 in a month costs ₹10. You can add it to Expense or Travel & Control, or buy it on its own if you only need purchasing and accounts payable.
